Privacy Policy
Last updated: 25 October 2026
This Privacy Policy explains how Woozchain (“Woozchain”, “we”, “us” or “our”) may collect, use, disclose and protect personal data when you visit our website or use Woozchain AMS and related services (the “Service”). We aim to handle personal data transparently and only for legitimate purposes.
1. Who is responsible for your data?
Woozchain is responsible for personal data processed for its own website, customer relationships and operation of the Service. For privacy questions, contact hello@woozchain.com. Please confirm this contact address and add the full legal name and registered address of the responsible entity before publication.
2. Personal data we may collect
Depending on how you interact with Woozchain, we may process:
- Contact and account information: such as your name, email address, login details and organisation or association information.
- Workspace and member information: information that workspace administrators or authorised users add to their association workspace, which may include member profiles, membership status and information needed to provide requested features.
- Service and technical data: log records, device and browser information, approximate usage information, security events and diagnostics.
- Communications: the content of messages and support requests you send to us.
- Billing information: relevant subscription and transaction records. Payment card details may be handled by a payment service provider rather than stored by Woozchain, depending on the payment setup.
3. How we use personal data
We may use personal data to provide and maintain the Service; create and administer accounts and workspaces; support member portals and digital membership features; respond to enquiries; process subscriptions and payments; protect the Service against fraud, misuse and security incidents; improve reliability and user experience; and comply with applicable legal obligations.
4. AI-assisted features and module review
Woozchain AMS may provide AI-assisted tools to help authorised workspace users generate or improve software modules. Inputs submitted to these features may be processed to return the requested output. Do not submit personal data or confidential information unless you are authorised to do so and it is appropriate for that feature. New modules and significant updates may be reviewed by the Woozchain team before publication. The specific AI and hosting providers, retention settings and processing locations should be described here once confirmed for the live service.
5. Legal bases for processing
Where data protection law requires a legal basis, we rely as applicable on performing a contract with you, taking steps at your request before entering a contract, our legitimate interests in operating and securing the Service, your consent where required, and compliance with legal obligations.
6. Sharing and service providers
We may share personal data with service providers that help us host, secure, operate, support or process payments for the Service, and with AI providers when an AI feature is used. Such providers should process data under appropriate contractual and security safeguards. We may also disclose information where required by law, to protect rights and safety, or in connection with a corporate transaction. We do not sell personal data for money.
7. Data retention and security
We keep personal data only for as long as reasonably necessary for the purposes described in this policy, including providing the Service, resolving disputes, enforcing agreements and meeting legal requirements. Retention periods vary by data type and purpose. We use reasonable technical and organisational measures to protect information, but no system can be guaranteed completely secure.
8. International transfers
Our service providers may process data in countries other than your own. Where required, appropriate safeguards will be used for international transfers, such as adequacy decisions or approved contractual protections. The actual countries and safeguards should be specified once the production infrastructure is confirmed.
9. Your rights and choices
Depending on your location and applicable law, you may have rights to access, correct, delete or restrict certain personal data, object to certain processing, receive a copy of data, or withdraw consent where processing is based on consent. You may contact us using the details above. You may also have the right to complain to your local data protection authority.
10. Association workspaces and member data
If an association invites you to a Woozchain AMS workspace or collects your information through its member portal, that association may decide why and how your information is used. In that case, contact the association for questions about its processing. Workspace administrators are responsible for ensuring they have an appropriate basis and authority to upload or manage member data.
11. Children
The Service is intended for use by organisations and their authorised users, not for children to create accounts independently. If you believe personal data has been submitted inappropriately, contact us so we can assess the request.
12. Changes to this policy
We may update this Privacy Policy as the Service evolves. We will publish the updated version on this page and revise the “Last updated” date. Where required, we will provide additional notice.
13. Contact
